The Centre for Information and Media Technology Services (ZIM) provides a wide range of central information systems and applications that support research, teaching and administration at Paderborn University.
Whether e-mail and mailing lists for daily communication, tools for collaboration and organisation or systems for web publication and research information - the services operated by ZIM enable efficient, secure and networked work processes in everyday university life.
Communication
Communication
ZIM provides centralised email services and mailing lists to ensure reliable and secure communication. These form the basis for the university-wide exchange of information - from individual correspondence to cross-team or cross-project communication. The systems are continuously maintained and adapted to the requirements of the university.
Telephone conference
Paderborn University uses the DFNVideoConference service of the DFN. In addition to the video conference function, this service also offers the option of holding a telephone conference.

Video and web conferences
The ZIM offers all members of the university (faculties, institutes, chairs, facilities, committees, university groups) the use of video and web conferences. Video and web conferences enable a virtual meeting of two or more spatially separated partners who can communicate with each other in real time via video and audio. It is also possible to exchange and process different data (video, audio, text).
Technical requirements for video and web conferencing with your own end device:
- Internet connection (landline is more stable than WLAN)
- Headset / external microphone
- webcam
- Conference software or browser
In 2020, ZIM expanded its previous offer via DFN-Verein (see below) to include the video conferencing tools BigBlueButton, MS-Teams, Zoom and WebEx as well as the voice conferencing software Mumble, some of which are suitable as video conferencing tools for job interviews, selection committees and appointment procedures, some as tools for committees, some for classes and some for oral examinations. Paderborn University uses in particular the DFNconf (video conferencing service) and Adobe Connect (more for eLearning scenarios) offered by DFN.

Video conference room for hybrid scenarios L3.204
Conferences with up to 48 participants can be held in the hybrid event room L3.204 (booking via the administration). The room is therefore particularly suitable for hybrid committee and commission meetings.

Collaboration & organisation
Working, planning and sharing knowledge together - ZIM offers a variety of platforms for cooperation and organisation. These include wikis, blogs, groupware solutions such as SharePoint and Microsoft 365, version management with GitLab as well as calendar and survey tools. These services support research, teaching and administrative teams in coordinating projects efficiently and making information available centrally.
Guest administration
The administration of guests or guest accounts is carried out via the service portal https://serviceportal.uni-paderborn.de under "My guests" (see hilfe.uni-pade rborn.de/Erstellung_eines_Uni-Accounts_(guests)).
Wiki / Information about the Mediawiki
A wiki is a system for websites for the collaborative creation of content. Web technologies are used for this purpose, i.e. wiki systems can only be used via a browser.
ZIM provides a wiki system as a multi-user installation based on MediaWiki. MediaWiki was originally developed for the free encyclopaedia Wikipedia. MediaWiki is available free of charge under the GPL licence. Wikis can be provided for faculties, institutes, chairs, institutions, committees or university groups. A wiki can only be accessed in an authenticated and encrypted form.

The wikis are available to users at wikis.uni-paderborn.de/<wikiname></wikiname>. Please note that the name <wikiname> of the wiki must not contain any special characters or "-" and must be in lower case. Access is via one or, if necessary, several LDAP groups. Wikis are usually created as private wikis, i.e. only logged-in users can read the wiki's content. However, it is possible to set up a publicly readable wiki.
Blog / Wordpress blogs
The ZIM operates a central Wordpress installation. All persons with a university account as well as departments can have a blog on this. The blogs can be accessed at blogs.uni-paderborn.de/<blogname>. If you are interested in a blog, e.g. for a working group, institution or similar, please contact the user advisory service.
To set up your own Wordpress blog, you can register with your user name and password at https://blogs.uni-paderborn.de under "MEIN UNIBLOG".
Version management (GitLab)
With the GitLab service, ZIM provides individual users, institutes and university departments with a version management system for working on software projects.
This makes it possible to view older versions of a file if required, to see the difference between two versions of a file and to merge the versions manually. It is also possible to work together on a project archive (repository). Gitlab also offers various management functions such as a bug tracker and a project wiki.

Appointment calendar
The Appointment Calendar service is available for university working groups via Exchange (help pages in the help wiki) and for students via Microsoft 365(help page in the help wiki).
Groupware
The Groupware service provides SharePoint (help pages in the help wiki) for work and project groups and Microsoft 365(help pages in the help wiki) for students.
Appointment survey (DFN)
DFN Terminplaner is a tool for coordinating appointments for participants in the German Research Network and can be used free of charge.
The appointment planner is the counterpart to Doodle and is harmless under data protection law.
SharePoint
ZIM offers the hosting of SharePoint team sites on the SharePoint server 2010 as a service for university working and project groups. The standard scope of services includes
- Hosting of the team site on a SharePoint server with redundant server components for maximum availability
- Integration into the ZIM server structure with the usual security standards and using the ZIM account and group administration for authentication and authorisation
- Daily backup of all content and - if necessary - restoration of individual documents
- Initial advice on setting up a standard team site and the election of the features required for the group's requirements
Further use of the SharePoint services, for example for hosting an in-house SharePoint development or support in setting up and designing more complex team sites, is possible in each case by arrangement and within the scope of the resources available.

Sharepoint functions

Members of working groups and projects create texts, reports, presentations and much more together on a daily basis. These documents are usually administered in a more or less unstructured manner on their own computer and made available to team members by email or, at best, in a shared file system. As a collaboration platform, SharePoint offers much more extensive options for creating documents together and making them available to the entire team for storage and administration in so-called team sites:
- Structured storage of any documents in document libraries with freely definable metadata
- Freely definable, role-based access rights to libraries, folders and - if desired - individual documents
- Version control with commenting and the option to revert to all previously created document versions
- Simultaneous collaborative editing of Microsoft Office documents by multiple authors
- Customisable, content-related search in all accessible document libraries
- Creation of different views of the document libraries
- Easy access to offline copies of all documents with automatic synchronisation in subsequent online operation
- Editing of Microsoft Office documents directly in the browser (no Office package required on the client system)

In addition to the document management options mentioned above, SharePoint offers a range of other functions to support teamwork as standard, which can be activated on the team site if desired:
- Forums: Discussion forums can be created on a team site where team members can discuss various topics.
- Wikis: Team members can document and share their knowledge on wiki pages.
- Blogs: Team members can create blogs and have posts commented on by other team members.
- Contacts and appointments: Teams can manage contacts and appointments together and access them via Outlook or RSS feeds.
- My website: Each team member can create a personal website, save their own documents there, link and comment on SharePoint content, maintain a personal profile and much more.
In addition to the standard features described above, there are additional options that can be activated on a SharePoint site. Overall, SharePoint can be thought of as an extensive construction kit that can be used to design and provide special solutions of varying complexity.
For example, the design of each SharePoint site can be customised almost at will and workflows can be created with the SharePoint Designer using the modular principle and instantiated in the SharePoint server.

The ticket system service is designed for areas (faculties, institutes, chairs, facilities, committees, university groups) of Paderborn University. The service includes the operation of (OTOBO) queues for projects and areas (e.g. Paul) and enables the defined processing of fault reports, service requests, enquiries, etc. The tickets can be assigned to other areas (queues) using the ticket system. Sync & Share NRW - sciebo
Sciebo is a NRW-wide cloud storage service for research, studies and teaching, which is optionally available to employees and students of Paderborn University. The use of sciebo is voluntary.
The purpose is the exchange of data with other users, especially members of other NRW universities, as well as the synchronisation of data between different end devices.
The published terms of use apply to the use of sciebo, as well as the ZIM terms of use for members of Paderborn University. Access to the system can be temporarily blocked in the event of misuse.

Use of sciebo
Employees and students of Paderborn University are each provided with 30 GB of storage in sciebo. Projects have the option of requesting additional storage.
To set up access, employees and students must register via the DFN-AAI authentication service. Registration is then carried out with a sciebo user name and password.
Sciebo enables the automatic synchronisation of data with different end devices ("Sync") and joint work on documents ("Share"). You can access your data at any time with all your devices using special sciebo clients or via a web interface.
You can share individual files or entire folders with other people.
Security
Sciebo is operated as part of the Sync & Share NRW project, in which 22 universities from NRW are involved. Sciebo is a non-commercial cloud storage service for research, studies and teaching and is based on the company version of the open source software ownCloud.
Unlike many cloud services (Dropbox, iCloud, Office365, ...), your data is processed at sciebo exclusively at universities in North Rhine-Westphalia (Bonn, Duisburg-Essen and Münster) and is therefore subject to German legislation.
The operating data centres use state-of-the-art security technology and do not pass on your data to any third parties or bodies.
The availability of sciebo depends in particular on the availability of the network connection to the service. Maintenance and repair work only takes place during normal business hours (5-day week).
Data transmission to your end devices is SSL-encrypted, but the data on the servers is stored unencrypted. Operation takes place in secure data centres of the operating universities. Qualified staff ensure that technical security measures are in place. Nevertheless, the confidentiality and integrity of the data cannot be guaranteed in every case.
Data backup
Although data is stored redundantly, data loss cannot be ruled out. Data that you have accidentally deleted cannot be restored. There is no additional data backup by sciebo or Paderborn University. Please carry out data backups yourself to avoid data loss.
Data protection information
The following user data is stored when using sciebo:
First name, surname, email addresses and status (student, employee, ...).
This data is transferred from the directory service of Paderborn University to sciebo during the first authentication via DFN-AAI, after the user's consent. Information on DFN-AAI can be found at DFN-Verein(https://www.aai.dfn.de; details on the data/attributes at https://www.aai.dfn.de/fileadmin/documents/attributes/200811/DFN-AAI-Attribute-V.1.0.pdf).
The specification of further data, in particular the uploading of files, is carried out exclusively by the users themselves.
When saving documents, please ensure that you do not violate any copyright or data protection laws.
Do not store any personal or confidential data in the cloud!
For scientific purposes and to optimise the sciebo service, anonymised usage data is collected, stored and processed and transmitted to scientific project partners for evaluation.
Hosting of applications (managed service)
The server service Managed Service (operation of applications) includes the operation and maintenance of applications of decentralised areas (e.g. faculties, institutes, chairs, facilities, committees, university groups) of Paderborn University on ZIM servers.
Maintenance can be carried out by the ZIM alone or together with administrators from the decentralised areas in accordance with individual agreements. The purchase of development services is possible.
Web and publication services
Whether personal homepage, institute website or research documentation - the ZIM enables the professional publication and administration of content on the web. With offers such as web hosting, the TYPO3 content management system and the Research Information System (RIS), a robust infrastructure is available for the presentation and documentation of scientific work.
Website maintenance with TYPO3 CMS
TYPO3 is a content management system (CMS) that you can access with your browser. The application is compatible with any browser platform, so you can use any browser for it. The ZIM offers the use of the open source content management system TYPO3 for website maintenance. The websites of Paderborn University are provided via TYPO3. Organisational areas and initiatives can apply for an area. Editors need a university account.

Personal homepage
Students and employees of Paderborn University can operate a personal website via the ZIM. The space occupied will be counted towards your quota. If there is a justified need, this upper limit can be increased. You can check the current maximum capacity and the current occupancy in the service portal. To be able to publish web pages, you need a university account, i.e. a user name and password. You must also have activated the "Network storage" option in the service portal under "User administration" and thus created a home directory. The home directory and the web directory belong to the network storage. By setting this up, you can access your web space.
https, http and share
To publish or share files with other users, there are three subdirectories in your home directory in the "public" subfolder: "https", "http" and "share".
You can store HTML data under "https", which can then be accessed in encrypted form at the address homepages.uni-paderborn.de<username>. The "https" directory is intended for those web files that are only to be transmitted in encrypted form in order to protect them from third parties during transmission.
Under "http" you can store HTML files (or Office, PDF documents, images, etc.), which can then be accessed at the address homepages.uni-paderborn.de<username>. If possible, please no longer use this folder, but only "https".
The third subdirectory, i.e. "share", cannot be viewed via web browsers. However, it is readable by default for anyone who can access the network storage. You can also easily create personal group areas here by changing the access rights. For example, you can use Explorer to access the corresponding subdirectories of other ZIM users on the "N:" drive and view or copy the files, provided the corresponding access rights are set.
The network storage path to the "public" folder is \\fs-cifs.uni-paderborn.de\home\public under Windows and /upb/users/<first letter of user name>/<user name>/public under Linux.
Important: For file names and subdirectories you should not use umlauts, spaces or special characters, lower case is recommended or even required for "index.html".
Rules for websites on ZIM servers
The following rules apply to websites hosted on ZIM servers:
The following are prohibited
- the creation and publication of websites for illegal, commercial or other non-specialised purposes (in particular the creation/saving and/or distribution of pirated copies via websites),
- making available on the WWW objects with content that can be prosecuted under criminal law or are morally offensive (in particular pornographic, violence-glorifying or racist documents),
- setting links to websites with the above-mentioned content or to corresponding files,
- passing on access authorisations that can be used for the publication of websites to other (possibly even non-university) persons.
Please note:
- You assume full responsibility for the content and links on your homepage.
- Please delete any files you no longer need from your web directory.
Design tips
If you are creating official websites for a faculty, institute or subject, please ensure that they look in line with the university's layout.

Research Information System (RIS)
With the RIS service, the ZIM offers the possibility of maintaining a central university bibliography. The aim is to record the published research results of Paderborn University and make them available for a wide variety of purposes. Appropriate entry, search and export functions are available for this purpose. In addition, bibliographies can be output in the central content management system TYPO3, e.g. for persons or organisational units.
The entry and maintenance of bibliographic data (publication references) is decentralised or carried out by the authors of the publications themselves. The specific metadata can be recorded via different publication types.
The service can be used - in the role of an 'editor' - by all university employees who publish or record publications for someone else - a service authorisation is required for all other groups of people. Authorisations are granted to all persons who publish in the academic operations of Paderborn University or who require access for official reasons. Research in the RIS is possible worldwide.

Profile manager
Paderborn University's profile manager makes it possible to centrally administer the details of all persons who are registered there. The entry of most of the data in the person manager is optional and voluntary; however, some contact data (name, telephone, e-mail, room, function) may also be entered by authorised persons in the respective area.
The central person or profile manager makes the multiple maintenance of personal data in various places on the web or in decentralised databases or similar superfluous and, in conjunction with Typo3, facilitates the presentation of personal data both internally and externally.
